Applygrid is operated by Rolf Sehested, based in Denmark, who is the data controller responsible for your personal data under the GDPR. For any question about this policy or your data, contact us at applygrid@protonmail.com.

We collect the information you give us and a small amount of technical data:

• Account data: your email address, authentication details, and your marketing email preference.
• Content you create: resumes, cover letters, job details you add, and any resume file you choose to upload.
• Billing data: handled by our payment processor, Stripe, we never store your full card number.
• Usage data: basic analytics about how the app is used, to improve it.

• To provide and operate the resume builder and cover letter generator - necessary to perform our contract with you.
• To generate AI cover letters based on the resume and job details you provide - necessary to perform our contract with you.
• To read an uploaded resume file and pre-fill a new resume for you, if you upload one instead of starting blank - necessary to perform our contract with you.
• To process subscriptions and manage your account - necessary to perform our contract with you, and to meet legal obligations such as accounting and tax records.
• To improve our features and respond to support requests - based on our legitimate interest in maintaining and improving the service.
• To send you optional marketing emails about product updates, tips, and offers, only if you opt in at signup - based on your consent, which every email lets you withdraw with a one-click unsubscribe link.
• To measure site usage with Google Analytics, only if you accept analytics cookies - based on your consent, which you can withdraw anytime via "Cookie settings" in the footer.

We use essential cookies to keep you signed in and remember preferences like dark mode and language - these don’t require consent because they’re necessary for the service to work. We use Google Analytics to understand how visitors use Applygrid, but only after you accept analytics cookies in the banner shown on your first visit. You can change your choice at any time via "Cookie settings" in the footer.

The content you create is yours. We use it to provide the service to you, for example, sending your resume and a job description to our AI provider to generate a tailored cover letter, or reading an uploaded resume file to pre-fill a new one for you. We do not sell your personal data, and we do not share it for advertising.

We rely on trusted providers to run Applygrid: Supabase (authentication and database), Stripe (payments), Google (Sign-In, if you choose to use it, and Analytics, only with your consent), and OpenRouter (routes your resume and job details to an AI model to generate cover letters and content suggestions). Each processes data only as needed to deliver their part of the service.

Some of our providers, including Stripe, Google, and OpenRouter, are based in or may transfer data to the United States. Where personal data leaves the EU/EEA, we rely on recognised safeguards such as the EU-U.S. Data Privacy Framework or the European Commission’s Standard Contractual Clauses to protect it.

We retain your data while your account is active. You can edit or delete your resumes and cover letters at any time, and delete your account directly from your ApplyGrid account settings.

Under the GDPR, you have the right to access, correct, delete, restrict or object to the processing of your personal data, receive a copy of your data, and withdraw consent where processing is based on consent.

You also have the right to lodge a complaint with a data protection authority.
